Privacy and Confidentiality

The eFilePlus system maintains the same strict confidentiality and privacy afforded to all participants in the current academic personnel promotion process. To ensure confidentiality, privacy AND security, the eFilePlus system is housed in the same secure, 24x7 facility as UCR's Financial System, Student Information System, and many other systems which contain sensitive information. The eFilePlus system data is backed up on a nightly basis.

In addition to physical security, the eFile system uses 4 other layers of security to protect eFilePlus information.

4 layers of security:

  1. Central Authentication System (CAS)
  2. Enterprise Access Control System (EACS)
  3. Role-based access to data
  4. Secure Socket Layer (SSL)
1. CAS
  • Requires Staff and Faculty to login with their UCR Net ID and Password. These are unique to each authorized user.
  • All employees are properly identified prior to being given a UCR Net ID.
  • Authentication through CAS is tracked and auditable.
2. EACS
  • Access is granted by specially trained "Systems Access Administrators" (SAA)
  • Only those faculty and staff granted access to eFile within EACS can use the eFile system
  • Actions in EACS are tracked and auditable
3. Role-based access to data
  • eFile uses roles to determine what users can see and do
  • Each role has specific authority and responsibility
  • Roles in eFile are based on the duties and responsibilities of faculty, department AP staff, Chairs, Deans, the Senate (CAP), Academic Personnel staff and the Administrator.
4. Secure Socket Layer (SSL)
  • SSL ensures data is encrypted while it travels over the Internet.
  • Data sent cannot be tampered with or forged.
  • Provides a high level of Trust.
  • Easily identifiable.
